About this document

A receipt confirms that money has already changed hands. An invoice asks for payment; a receipt proves it arrived. Send the invoice first, then the receipt once the money lands — the two are separate documents and most tax authorities expect you to keep both.

Fill in what was paid, for what, and when. The tool adds the total, puts your details at the top, and hands you a PDF. If you took a deposit and the balance separately, issue a receipt for each payment rather than one for the lot.

What goes on a receipt

  • The word "Receipt", so it is not mistaken for a request for payment
  • A unique receipt number, and the number of the invoice it settles
  • The date the payment was received — not the date of the invoice
  • Who paid, and who was paid
  • What the payment was for, itemised
  • The amount received, and the method if it matters to either side
  • Any tax included in the amount

Questions

What is the difference between an invoice and a receipt?
An invoice requests payment and is issued before you are paid. A receipt confirms payment and is issued after. The same work usually produces both: an invoice when you finish, a receipt when the money arrives.
Do I need to issue a receipt if I sent an invoice?
It is good practice and in some places it is required, particularly for cash. A receipt closes the loop, gives your client proof for their own books, and makes chasing far easier if a payment is later disputed.
Can I show a deposit and a balance on one receipt?
You can, but a receipt per payment is cleaner and easier to reconcile. Put the invoice number on each so they tie back to the same job.
