How to make an invoice

  1. Add your details and your client's. Save the client once and they come back automatically next time.
  2. Number it. Invoice numbers need to be sequential and unique for your records and for most tax authorities. The number increments itself after each download.
  3. List the work. One line per item, with quantity and rate. Hours work as decimals, so seven and a half hours is 7.5.
  4. Set payment terms. Net 30 is the common default. "Due on receipt" gets you paid faster and is entirely reasonable for freelance work.
  5. Say how to pay you. The most common reason an invoice sits unpaid is that the payment details were missing.
  6. Download and send. The PDF is built on your device and downloads immediately.

Who it is for

Freelancers, self-employed people, contractors, sole traders and small businesses who need a professional invoice template without signing up for accounting software. Bill by the hour, the day or the item, add VAT, GST or sales tax, take a deposit off the total, and send a PDF your client can pay from. The same form also works as a receipt generator, a quote template or a credit note — change the heading and the document changes with it.

What has to be on an invoice

Requirements vary by country, but almost everywhere expects the word "invoice", a unique sequential number, the date of issue, both parties' names and addresses, a clear description of what is being charged for, the amount due, and the payment due date. If you are registered for VAT or GST you generally also need your registration number and a tax breakdown showing the rate and the amount — pick your region above and those fields are labelled correctly for you.

This is general information, not tax or legal advice. Requirements differ by jurisdiction and by the kind of work you do — check with your own accountant or tax authority if anything is unclear.

Questions

Do I need an account to download the invoice?
No. There is no account, no email field and no download gate. Fill in the form and the PDF downloads straight to your device.
How many invoices can I make for free?
As many as you want. There is no third-invoice paywall and no monthly cap — the free tier is the whole tool.
Where is my data stored?
In your browser, and nowhere else. The PDF is built on your own device, so your rates, clients and totals are never sent to a server. Your business details and saved clients live in this browser's local storage, which means they are private to this browser and will not follow you to another device.
Can I save clients so I don't retype them?
Yes. Save a client once and they appear in the picker on every future invoice, along with your own business details and the next invoice number. No account needed.
Can I use it for VAT, GST or ABN invoices?
Yes. Every country is in the list, along with 150+ currencies. Pick your country and the tax label, business-ID field, currency, date format and number grouping all change to match — VAT and a VAT number in the UK, GST and an ABN in Australia, GSTIN in India, GST/HST in Canada, MVA in Norway, a KRA PIN in Kenya. Tax can be added on top or shown as already included, and you can rename the tax label to anything you need.
Can I use this as a freelancer, contractor or sole trader?
Yes — that is who it is built for. Freelancers, self-employed people, contractors, sole traders and small businesses can bill hourly, daily or per item, add VAT or GST, and send a professional invoice PDF without signing up for accounting software.
Is there an invoice template I can reuse?
Every invoice you make is the template. Your business details, logo and clients are remembered, so the next invoice starts already filled in and the number has moved on by one. You can also reopen or duplicate any invoice you have already downloaded.
Can I make a receipt, quote or credit note instead?
Yes. Change the heading at the top of the form and the same tool becomes a receipt generator, quote template, estimate, credit note, purchase order, proforma invoice or delivery note. The PDF filename follows the heading you pick.
What is the small line at the bottom of the PDF?
A single quiet line reading "billwrightinvoice.com". It is how the tool stays free and unlimited. If you would rather send invoices without it, there will be a one-off option to remove it.
